UAB Eisturas carries out hundreds of employee transport, tourist, and other chartered trips every day. With 32 vehicles, 29 drivers, and more than 2,600 trips per month, the old system—route planning in Excel and manual communication—became too slow and risky. We created a complete transport management system that automates schedules, routes, driver assignments, and real-time communication with drivers.

Challenge / Problem
- Unmanageable amount of data: there are ~2,697 trips per month, and each one requires assigning a vehicle and driver, specifying the route, and indicating pickup and delivery times.
- High risk of human error: drivers sometimes received information too late or incorrectly, which caused stress for management and could disrupt journeys.
- Complex coordination: one person used EXCEL to monitor all schedules, shifts, routes, corrections, and driver replacements.
- No real-time feedback: the driver could not quickly confirm whether he could drive – information came back late, and in critical situations it was necessary to quickly replan manually.
- Repeated trips are generated each time anew: this wastes time and increases the likelihood of missing details.
Decision
We have developed a centralized transport management system that eliminates manual planning and risks.
- Automatic trip generation. The system generates all daily trips according to shifts and schedule templates. One-time trips are created as quickly as recurring ones. Managers no longer need to repeat the same operations — everything is done in seconds.
- Extended route and schedule management. 74 active routes centralized in one place. Clear stops, directions, company schedules, shift logic. Vehicles and drivers linked to actual working days and capacities.
Decision
- Driver confirmation system (Telegram + web application). The driver receives an automatic message: “Can you take this trip?” They click Yes/No with a single button. If they do not respond by the set deadline, the manager receives a warning. The driver can open a mini application with all the details they need: time, location, route, road information.
- A clear control center for managers. A list of trips with filters and real-time statuses. All vehicles, their occupancy, and number of seats are visible. A list of drivers with activity indicators. Statistics on seat (stop) usage allow you to see which points are most congested.
- We eliminated our dependence on EXCEL. All processes became structured, reproducible, visible, and self-managing. The system ensures that every trip has a driver, times, stops, and is not lost in any table.
Results
Since the system has only recently been put into use, the results are measured in terms of procedural changes — and they are already significant:
- Generating trips has become instantaneous.
- No more lost or delayed trips. Drivers receive notifications in real time and can confirm instantly.
- The probability of errors has been reduced to a minimum. The system automatically manages stops, schedules, driver assignments, and shifts.
- One manager can now manage thousands of trips without additional assistance.
- Better driver engagement. The Telegram button “Can/Can’t” shortened communication time and reduced last-minute crises.
- A clear system that enables the company to grow. By automating route creation and driver management, the company can:
- accept more customers,
- expand the scope of schedules,
- not require additional human resources.
