Robotics Academy is the largest technological education organization in Lithuania, working with 500–600 schools and more than 10,000 children. With rapid growth in Lithuania and abroad, it became necessary to create a centralized internal system that would allow registrations, payments, teachers, and daily operational processes to be managed in one place.

Challenge / Problem
The Robotics Academy’s activities involved thousands of children, hundreds of teachers, and dozens of different processes, which had long been managed manually or through separate tools.
More than 10,000 parents signed up for clubs and camps every month, which required enormous administrative resources without a centralized system.
Manual registration, billing, and payment administration became difficult to manage as the scale grew.
Teacher salary calculations, shift planning, substitutions, and room and equipment assignments were fragmented.
The customer service team was forced to deal with recurring questions about payments, registrations, and schedules.
There was no clear system in place to see the real scale of operations, efficiency, and growth opportunities.
Decision
Bright Projects created a customised internal management system from scratch, tailored to the scale and complexity of the Robotics Academy’s activities. The system was developed in stages, constantly adapting it to the growing business.

Automated finance and invoice management. The system processes more than €400,000 in payments per month, reducing manual work and the likelihood of errors.
Teacher and mentor management. Ability to calculate salaries based on hours, attendance, and substitutions, assign shifts, rooms, and necessary equipment.
Support for business scale. The system is designed to work with hundreds of schools, hundreds of mentors, and thousands of children, both in Lithuania and internationally.
Clear user structure and access. Different roles (administrators, teachers, parents) see only the information relevant to them, reducing confusion in daily activities.
Long-term architecture and support. The system has gone through several versions (from WordPress to Laravel), ensuring stability, security, and future development opportunities.
