EXOCLASS is a system designed for educational activity organizers who want to abandon Excel and manual work and manage all activities in one place. The platform automates registrations, payments, attendance, and communication, providing clarity for both administrators and parents. The system is designed for growth – from a few groups to hundreds of activities and thousands of customers.

Challenge / Problem

Organizers of educational activities (clubs, academies, camps) have long relied on manual solutions. This becomes a serious obstacle to growth when the number of activities, students, and payments begins to increase rapidly.

  • Parents often forget to pay for services on time, and manual account tracking does not allow for a quick response. Late payments demotivate the administration and directly affect operating income.
  • Registration, group formation, student transfers, account adjustments, attendance tracking—all of this is done manually, often in several different files or systems.
  • Fixed fees are not suitable for everyone – payments for lessons, trial lessons, discounts, NVŠ, or additional goods are required. It becomes too complicated to manage this manually.
  • If the administration fails to respond, remind, or clarify information, parents are left with uncertainties, and the registration process becomes inconvenient and unreliable.
  • Most solutions on the market are either too complex or geared toward large organizations. As a result, club leaders opt for “budget” solutions (Excel, documents) that hinder growth and create constant administrative chaos.

Decision

  • EXOCLASS was created as a comprehensive club and educational activity management system that replaces fragmented processes (Excel, emails, manual registrations) with a single, clear, structured solution. All activities—from registration to payment and attendance—are managed on a single platform.
  • Users are provided with a clear activity search experience with an interactive map showing camps or clubs. On the right is a map with locations, and on the left are activity cards with information that allows users to quickly select, register, and pay. This significantly reduces the registration barrier for parents.

Decision

  • The system supports various payment scenarios:
    • fixed monthly fees,
    • flexible payments for lessons,
    • one-off payments,
    • trial (demo) lessons,
    • camp fees,
    • Application of NVŠ and discounts.
  • Additional items (e.g., dance shoes or equipment) can be added, which customers pay for together with their registration.

Decision

  • The system automatically generates invoices and sends reminders about upcoming or overdue payments. The administration can see the following in real time:
    • paid orders,
    • unfinished baskets,
    • late payments (debtors).
  • Advanced tools for managing groups and students. The administration can:
    • transfer students between groups,
    • adjust invoices and apply discounts on an individual basis,
    • track attendance,
    • add comments (e.g., allergies at camps or individual needs),
    • add teaching materials to attendance.

Decision

  • The system allows you to add teachers, assign them to groups, and calculate salaries based on hours and actual attendance. This eliminates additional manual calculations and helps maintain transparency between the administration and lecturers.
  • EXOCLASS has an advanced reporting system that allows you to analyze data from various angles:
    • group filling,
    • student engagement,
    • income dynamics,
    • payment status,
    • registration trends.
  • Additionally, external tools (Google Analytics and Meta Pixel) can be integrated to ensure that marketing and business decisions are based on real data.
  • Automated communication that takes the burden off administration. The system automatically sends:
    • invoices and payment reminders,
    • announcements about upcoming classes,
    • invitations to teachers,
    • informative letters to customers.

 

Results

  • Administrative processes were transferred to a single system, abandoning Excel and manual work models.
